How much does custom club management software cost?
It depends on scope. You can choose a fixed-price project or a monthly plan, both based on project size. Members, sites, modules such as bookings or POS, and a member app move the price; a short scoping call gets you a fixed quote. See pricing.
How long does it take to build club management software?
Timelines depend on project size. Your exact timeline, broken into milestones, comes with the fixed quote and is planned around your membership year, so the switch never lands in the middle of renewals.
Do we own the source code and the member data?
Yes. Member, payment and booking data always belongs to the club, held in its own database and exportable at any time. On a fixed-price project, the source code becomes the club's once it is paid in full. There is no per-member licence and no lock-in.
Do you charge per member or per payment?
No. You pay for building the system, as a fixed price or a monthly plan. Subscriptions and fees are collected through the club's own GoCardless, Stripe or bank accounts, so the only transaction costs are the provider's. Platforms such as Spond charge 2.5% + 20p per payment (help article, 2026).
Can you move us from Pitchero, ClubSpark, Spond or a spreadsheet?
Yes. We export members, families, payment history and bookings, clean up duplicates and import them, then run both systems in parallel until renewals are through. Direct Debit mandates move with members where your payment provider supports a transfer; otherwise members confirm theirs in a single step.
Can members pay by Direct Debit, SEPA, card, cash or Bizum?
Yes. Direct Debit through GoCardless in the UK, SEPA direct debit in Europe, cards and wallets through Stripe, Bizum in Spain, and cash or bank transfers recorded by staff. Annual fees can be split into instalments, and failed payments retry automatically.
Can membership control doors and lights?
Yes. Door and gate access follows membership status, so a lapsed member's code stops working and starts again on renewal. Guests get day passes and coaches time-limited codes. For courts that open with a booking and nobody on site, see our court booking system page.
Can it sync with Xero, QuickBooks, Sage or DATEV?
Yes. Invoices, payments and fees can flow to Xero, QuickBooks or Sage, and German clubs get DATEV-ready exports for their tax adviser. We agree during scoping whether you need a live connection or a scheduled export, and which accounts each type of income should post to.
Do we need a member app, or is a member website enough?
Many clubs start with a mobile-friendly member portal on their website. A member app pays off when members book often, need push notifications for fixtures or open matches, or expect the club in their app store. We can add one later from the same system.
Is it GDPR-compliant for junior members and safeguarding?
We build to GDPR: junior records are linked to guardians, medical and consent details are visible only to the staff who need them, and every change is logged. Safeguarding certificates, such as DBS checks in the UK, can be stored with expiry reminders.
Does it work for multi-site clubs and federations?
Yes. One platform can run several sites with their own prices, staff and reports, or a federation with member clubs, central registrations and licence fees collected once. Members keep one account across every site or club, and head office sees totals across all of them.
What is the best software for managing a sports club?
There is no single best option. Pitchero, Spond and ClubRight suit many clubs, and free tools can work for a small club. Custom software makes sense when per-payment fees add up, when your membership rules don't fit a package, or when the club wants its own data and app.
What is sports club membership software?
It keeps members, categories, renewals, payments and messages in one system, so staff don't have to chase spreadsheets. A club can rent a ready-made product or build its own. A custom system makes sense when your rules don't fit a package or fees keep growing.
Can you build billing software for a tennis club?
Yes. We can build membership renewals, family plans, court fees, coaching charges and payment reminders around your club's rules. Payments go through your own payment provider, so you can see and manage them in your own account.
