How much does custom sports academy software cost?
It depends on scope. You can choose a fixed-price project or a monthly plan, both based on project size. Athletes, branches, parent and coach apps and payment providers move the price; a short scoping call gets you a fixed quote. See pricing.
How long does it take to build academy management software?
Timelines depend on project size. Your exact timeline comes with the fixed quote, planned so families register for a new term on the new system.
Do we own the code and the parent data?
Yes. Athlete, family and payment data always belongs to your academy, held in its own database and exportable at any time. On a fixed-price project, the source code becomes yours once it is paid in full, and the apps are published under your developer accounts.
Do you charge per athlete or per registration?
No. You pay for building the system, as a fixed price or a monthly plan, whether you have 50 athletes or 5,000. Fees are collected through your own payment provider, so the only transaction costs are the provider's, unlike platforms that take a percentage of every payment.
Can parents pay in instalments, by direct debit, card or cash?
Yes. Fees can be split into instalments and collected by Direct Debit, SEPA direct debit or card, with reminders before each collection. Cash and bank transfers are recorded at the desk, and academies in the Gulf get regional gateways and VAT-compliant invoices.
Can parents get WhatsApp reminders?
Yes. Session reminders, cancellations, payment notices and next-term offers can go out through your academy's own WhatsApp Business account, using approved templates, to parents who have opted in. Push notifications and email work alongside it, and each parent chooses which channel they prefer.
Can we move from spreadsheets, TeamSnap, ClassForKids or Jackrabbit?
Yes. We import athletes, families, groups and payment history from exports or spreadsheets, clean up duplicates and run both systems in parallel until families are set up. Parents receive one message with a sign-in link; their children and details are already there.
Is it GDPR- and COPPA-compliant, and can it hold DBS and safeguarding records?
Yes. We build to GDPR, and to COPPA for US academies: guardians are linked to every junior, medical and consent records are visible only to the right coaches, and every change is logged. DBS checks and certificates are stored with expiry reminders.
Do we need a parent app, or is a web portal enough?
A mobile web portal works for many academies, especially in the first year. A parent app pays off when families book every week, want push or WhatsApp reminders and follow progress reports. Both run on the same system, so you can add the app later.
Can it run camps and holiday clinics?
Yes. Parents book single days or whole weeks, add before- and after-care and fill in medical forms once. Early-bird prices and sibling discounts apply automatically, and coaches check children in and out on a tablet, with each child's authorised collectors listed.
Can it handle several sports and branches?
Yes. One platform can run football, tennis and swimming programmes side by side, at one venue or many. Each branch keeps its own timetable, coaches and prices, while families keep one account and head office sees every branch in one report.
What is the best sports academy management software?
It depends on your academy. TeamSnap, Jackrabbit and ClassForKids suit many academies that want to start quickly. Custom software makes sense when per-athlete or payment fees grow with every family, when your terms and fees don't fit a package, or when you want your own parent app.
Do you build football academy software?
Yes. We can build registration, age groups, trials, session and coach schedules, attendance, monthly or termly fees and parent communication. See our football software page for what we add for clubs and academies.
