1. Information We Collect

1.1 Account & Registration Data

When you or your club registers to use a Kodlify-built platform, we may collect your full name, email address, phone number, date of birth, profile photo, and login credentials. For sports clubs and organizations, we also collect business name, address, and authorized representative details.

1.2 Booking & Membership Data

Our platforms handle court reservations, class bookings, league registrations, and membership enrollments. This involves collecting booking history, session preferences, team/squad assignments, and membership tier information.

1.3 Payment Information

Payment processing is handled by third-party processors (e.g., Stripe, PayPal). We do not store full card numbers or CVV codes. We may retain transaction IDs, partial card details (last 4 digits), billing address, and purchase history for record-keeping purposes.

1.4 Location Data

With your explicit consent, our mobile applications may collect precise or approximate location data to show nearby facilities, courts, or events. You may disable location access through your device settings at any time.

1.5 Device & Usage Data

We automatically collect technical information including IP address, browser type and version, operating system, device identifiers, pages visited, time spent on pages, referring URLs, and crash/error reports.

2. How We Use Your Information

• Providing, operating, and maintaining the platforms we build for sports clubs
• Processing bookings, payments, and membership enrollments
• Sending transactional communications (booking confirmations, receipts, reminders)
• Sending marketing communications where you have opted in
• Improving our products and services through analytics
• Detecting fraud, abuse, and security incidents
• Complying with legal obligations
• Responding to customer support requests

3. Sharing with Clubs and Third Parties

3.1 Sports Clubs (Data Controllers)

When Kodlify builds a platform for a sports club, that club acts as the data controller for its members' personal data. Kodlify acts as a data processor on their behalf.

3.2 Payment Processors

We integrate with payment processors including Stripe and PayPal. Your payment data is transmitted directly to these processors under their respective privacy policies.

3.3 Google Services

Our platforms may use Google Analytics, Google Maps API, Google Firebase, and Google Cloud services.

3.4 Other Third-Party Services

We may use cloud hosting providers (e.g., AWS, Vercel), email delivery services (e.g., SendGrid), error monitoring tools, and customer support platforms.

4. Children's Privacy (COPPA)

We do not knowingly collect personal information from children under 13 without verifiable parental or guardian consent. Parents or guardians may contact us at privacy@kodlify.com.

5. Cookies & Analytics (Google Analytics 4)

5.1 What we use

We use Google Analytics 4 (GA4) via gtag.js to understand how visitors interact with kodlify.com. GA4 is operated by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.

5.2 Data collected

• Pages viewed — which pages of kodlify.com you visit and in what order.
• Traffic source — where you came from (search engine, social media, referral link, or direct), including any UTM parameters (utm_source, utm_medium, utm_campaign, utm_content, utm_term).
• Device & browser — device type, operating system, browser name and version, screen resolution.
• Approximate location — country and region derived from anonymised IP address (IP anonymisation is enabled by default in GA4).
• Session behaviour — session duration, bounce rate, pages per session, and scroll depth.

We do not enable Google Signals or Google Ads remarketing features. We do not share GA4 data with any third party other than Google.

5.3 Cookies set by Google Analytics

These cookies are only written after you click Accept on our cookie banner. If you click Reject (or dismiss the banner), no analytics cookies are set and no data is sent to Google Analytics.

5.4 Consent

We implement Google Consent Mode v2. All analytics and advertising storage is set to denied by default when you first visit. GA4 tracking only activates after you grant consent via the cookie banner. Your choice is remembered in your browser's localStorage for future visits. You may change your preference at any time by clearing your browser data or contacting us.

5.5 How to opt out

• Click Reject on our cookie banner (or dismiss it — dismissing counts as rejected).
• Install the Google Analytics Opt-out Browser Add-on.
• Use your browser's built-in privacy settings to block or delete cookies.

5.6 Google's privacy policy

6. Data Retention

• Account data retained while active and for 2 years after closure
• Transaction records retained for 7 years for legal compliance
• Usage and analytics data retained for up to 26 months
• Communication logs retained for 3 years

7. Your Rights

• Access — Request a copy of the personal data we hold about you
• Correction — Request correction of inaccurate data
• Deletion — Request deletion of your personal data
• Portability — Receive your data in a machine-readable format
• Objection — Object to processing based on legitimate interests
